Electronic Document Management

Electronic Records Storage

    It is estimated that 85?90% of the records created on behalf of the County begin in electronic format. The management of those electronic files is an important part of the Records Management & Archives program.  Livelink is the electronic record keeping system, or Electronic Content Management (ECM) system, available to departments throughout the County that provides storage and search capability. It also allows RM&A to apply Retention Schedules to electronic records.

Scanning

    The County uses InputAccel as its enterprise scanning, image, and document processing solution. InputAccel is available to all County departments that strive to create, maintain, and distribute digital content.

Role of RM&A

    RM&A collaborates closely with IT Services to identify and deploy the tools and technologies to capture, manage, store, preserve, and deliver content and electronic documents by:

  • Creating and designing Document Models for Livelink and InputAccel which determine best practices to store electronic records in order to facilitate document retrieval, control access as required, and implement retention requirements.
  • Assisting customers with the change management and implementation phases of the new functionality.
  • Developing business requirements and technical standards for the storage of electronic records.
  • Administering approved records retention schedules for electronic records stored in Livelink, including approval of requests to delete records.

    RM&A also provides limited scanning services for documents of all sizes.
